Get started with Invoice setup

Here is a quick guide to configure your Invoices:


Setup Client info and Address

  • Navigate to Clients > Choose specific Client > Update

  • Add the contact info, company info and billing info that you wish to add to the client's Invoice.

✍️ Note: If you wish to add any custom field to the Client's info then create the custom field for the Client and fill in the information.


Format how to show your company info and Client's company info

You can customize how your company's and your client's info shows up in the Invoice.

You can also set and show custom fields for your company info, client's info and to the Invoice as well.

  • To format navigate to Settings > Invoices > Formatting

  • Choose the tab to set your or client's info as shown in the image below.


Setup Invoice prefix & format & due dates

  • To set navigate to Settings > Invoices > Other Settings

All fields explained:

Invoice number Format:

Choose if you need dynamic numbers or a combination of numbers and dates to be displayed in the Invoice number.

Invoice number prefix:

You can set a fixed alphanumeric combination to set as a prefix to each Invoice number. Default is INV-, but you can also use the initials of your company.

Next Invoice number:

The invoice number that will be next. If you wish to change the sequence then you can come and change the number here.

Due after days

Set auto due date after these many days as the due date

Default Client Note

Default Client note is visible at the bottom of the Invoice.

Default Terms

Default Terms visible at the bottom of each Invoice

✍️ Note: You can set defaults in settings that applies to all new Invoices. If you wish to change these values for any of the Invoice it's possible to do in the Invoice editor.


Setup offline Payment method

You can configure your offline payment methods in Clientjoy such as Bank Transfer, Cash, or any other means. When enabled these methods will be visible on the Invoice for your Client to refer.

  • Navigate to Settings > Payment methods

  • Go to section BANK ACCOUNTS FOR OFFLINE PAYMENT

  • Click on Add payment method button

  • Add your bank details or any other details

  • Save the payment method

  • Go to Invoice and then enable the newly added offline payment method

  • It will be shown on the Invoice as shown below:


Choose the template / Theme

  • Create a new Invoice or update an existing Invoice

  • Click on templates options on the left most navigation

  • It'll show the available design themes. You can pick one as per your need.

✍️ Note: The template will automatically take your brand color set on branding page.

✍️ Note: You will not have to choose the template every-time. Clientjoy remembers the last used one and automatically applies it to the new Invoice.


Setup Reminders

Clientjoy sends auto reminders to your Clients to remind them of the due payments.

Following reminders are sent

First reminder

This reminder is sent N days before the due date. You can set the N.

on Due date

A reminder is sent on the due date.

Recurring reminder

This reminder is sent every N days after the due date till next 30 days.

✍️ Note: The above reminders are not sent or stopped if the Invoice is paid.

✍️ Note: You can override the reminder settings for specific Invoice too. Go to Invoices > Open Specific Invoice > Choose auto reminding options from left most navigation. Click on configure to change it. See images below:

✍️ Note: You can stop reminders for specific Invoices too. Invoices > Specific Invoice > Options > Pause overdue reminder as shown below.
