We’ve built a client portal where any type of data (docs, links, videos, forms, invoices, websites, etc.) can be shared with your clients. All this in a portal with your custom branding.

What you can do with the Client portal?

You can give your clients a go-to place for everything that they need. It's a portal where they login and find the scope document that they were looking for, the proposals, invoices that are to be paid, onboarding document, feedback forms, one drive folder which has all assets, weekly reports, drafts of the articles or designs, etc.

You can customise what they see by creating tabs that embeds all these documents, links, websites, etc.


What is a Client Portal Template?

Client Portal Template is by default available to your Client unless you customise it for a specific client. You can customise the default template with the applications and documents that you want to embed.

Here is how it will looks like

On the Client Portal setup page you can choose Client Portal Template to modify it.


How to set up a Client Portal

✍️ Note: Client Portal setup is only accessible to the Admins and the Owner of the Workspace.

  • In the main navigation bar, go to Clients > Client Portal to set it up for your clients.

You will see the Client Portal setup page. From this page you can set up the complete client portal from the branding to custom tabs.

  • Choose if you want to modify the Client Portal for a specific Client or the template.

✍️ Note: When choosing the client you can know whether the Client is having template view or the portal is customised for this client. By default the template made is available to all clients. When you switch to a client and make any changes to the client's tabs, a custom view is created for that specific client and template view is no more available. Any changes that you apply to template view will not be applicable to this Client.

How to set up your Navigation or Custom tabs for a Client?

You can share your documents, videos, resources, websites, reports, etc. through custom tabs in the Client Portal. You can share public links to popular apps like youtube, Google Drive, One Drive, Google data studio, websites, Berry cast, ClickUp, etc.

  • Click on customise button on the top right.

  • This will open customisation modal. Click on Navigation menu to update tabs. Here you can add tabs, remove tabs, hide tabs and can rearrange the tabs.

✍️ Note: Files, Proposals, and Invoices - these three tabs can be hidden in the Client Portal but can not be removed as these are the default tabs you get with your Client Portal.

  • Click on Add new tab button. For embedding, your app will provide you either "embed code" or embed link. Based on that choose the link or embed code option.

  • In the Embed link option, paste the link as shown in the image below.

✍️ Note: Some apps such as Asana doesn't allow it's links to be embedded in other apps so you'll get no preview. You can choose "open in new tab" option in such scenarios. So the tab will open the link in a new tab. Your client still have one place to go to find it all.

  • In the Embed code option, paste the code as shown in the image below.

After saving the tab. Close the customise modal and see the preview of the Client Portal.

✍️ Note: Client Portal is mobile responsive. Your clients can login and access it from their phone too. Get the shareable link as shown below and share it with your clients.


How to share a File, Invoice, Documents with a Client in Client Portal?

In the client portal, you can share files, proposals, quotes, agreements, contracts and invoices with your client. Your client will be able to see and review the files, invoices, and contracts you have sent without having to involve you again.

First way, through Files section in Client

  • Navigate to main navigation > Clients > Choose Client > Files

Second Way, through Client Portal setup page

  • Switch to the Specific Client's view of the Client Portal as shown below.

  • Go to the Files tab

  • Upload the files directly. You can also share file from your Google & One drive from here.

Sharing Documents & Invoices

You don't have to share or upload an invoice or document manually in the client portal. If you are sending an invoice to your client from the invoice module, it will be automatically shown in the client portal. This is also applicable to the Document. Ensure that Documents and Invoices tab are not hidden in the navigation menu for that client or template.

✍️ Note: Whenever there is an unpaid Invoice or unsigned document, a red notification dot comes in the tab to grab attention of your client when in Client Portal.


How to set up a Client Portal invite email template?

Your clients will receive one email with their login credentials when you invite them to the client portal. You can also personalize that email so that your client has a more cutting-edge experience.

Here is how to do that

  1. Go to the settings and click on Email Templates

  2. Once you click on Email Templates, you will have the option to change templates for invoices, proposals, and customers. You guessed it right, you have to click on the customer tab.

  3. Now, you have to click on the edit icon

  4. Now, you can customize the email template as you want, once done, hit the save button.


How to Invite a Client to Client Portal?

  • Navigate to Clients > specific Client > Contacts

  • Choose the contact who you want to Invite and Click on the send Invitation button as shown below

  • This will open update contact modal. You'll be asked to enable the portal access for that Client. Set the password for their account. Send Invitation email by clicking the checkbox below if you wish to send the email.

Your client will receive the email invite along with the login link and login credentials.


How can a client upload or share a file in the Client Portal?

Once your client logged in to the client portal, they will have the tabs on the top navigation bar, from where they will be able to access files, proposals, and invoices shared with them. Along with that, they can upload files as well if required.

As a next step, they have to click on "upload file" to select the desired file from their system to upload it.
